Cancellation Policy

Non-attendance fee must be paid before any future bookings. This will be sent as a payable invoice via PayPal or payable in clinic. This policy applies to all changes and cancellations to appointments. There are no exceptions.

So we can provide you all with the best affordable service possible (extended treatment times, the high standard of our services and facilities) we significantly reduced our profits. Therefore, to keep our business operational, these charges must be enforced. We also reserve the right to request prior settlement of any outstanding accounts prior to making future appointments.

Physiotherapy Cancellation 

We all know time is the most valuable thing in our day. Just as we do our very best to run on time and not leave you waiting for your appointment, we also appreciate as much notice as possible when making changes to your appointment length or scheduled time. 


We ask for 24 hours’ notice so that we have adequate time to re-book someone else on our waiting list.
 

 

For changes to your appointment within with 6-24 hours’ notice, a $20 fee will be charged to your account. 
 

 

For changes to your appointment within with less than 6 hours’ notice, 50% off the session fee will be charged to your account. 
 

Non-attendance will incur the full appointment fee to be charged to your account. 
 

Even if unfortunately, you or a family member are unwell, this policy still applies.

 

We have this to allow other people who are waiting for appointments the chance to receive treatment. It also helps to cover operational and staffing costs.

 

Exercise Class Cancellation

At least 24 hours’ notice must be given prior to cancellation to avoid incurring cancellation fees.

 

This enables us to have adequate time to re-book someone else on our waiting list. 

For changes to your appointment within with 6-24 hours’ notice, a $20 fee will be charged to your account. 

 

For changes to your appointment within with less than 6 hours’ notice, the full class fee will be charged to your account. 

This is to ensure that there is adequate time to offer your time slot to someone else in need. The cancellation fee is to help towards covering clinic operation costs.

To keep an ongoing reservation in our classes, we require participants attend 4 in every 6 classes.

Third-Party Insurance (including: NDIS, Workcover, CTP)

For all our services here at Aeon Health we require payment at the time of delivery of the service. This means that for all treatment that is to be claimed under any third-party insurer, you may be required to pay for the session first before being re-imbursed directly from your insurer. 

This is to ensure that we can afford to cover all the operational costs of the clinic. 

In the case of NDIS, this would mean that one is self-managed.

Enhanced Primary Care (EPC) or Chronic Disease Management (CDM) plans

For EPC or CDM plans, payment for the session first is taken in full then the Medicare rebate of $55.10 is returned to your cheque or savings account via card. Unfortutanely this rebate cannot be returned onto a card saved to a smart-phone. 

If you do not have a suitable card with you, full payment will be taken and you will have to call or log-in to the my-gov website to attain your medicare rebate.

Children in the Clinic

Physiotherapy Treatment 


Parents/guardians are more than welcome to bring their children in to the clinic during their own treatment session provided:
 

  1. The children do not cause disruption to the operations of the clinic and do not pose a threat to themselves and/or others.

  2. The parent/guardian understands that we cannot extend their treatment session even if the length of the session is reduced due to tending to children.
     

Exercise Therapy Session
 

Children (including infants) are not allowed into the gym. This is not only for their own safety but to ensure that there is no disruption caused to others sharing this space.
